Small Tribes Auctions keeps only what it needs to run auctions. We don't sell data, we don't use it for advertising, and we don't track people across servers or outside auction channels.
What we collect
- Discord IDs and display names of sellers, bidders and winners, so auctions, bids and trade rooms work.
- Listings: what a seller writes and the screenshots they post in their auction request ticket, which become the auction card.
- Auction records: items, prices, bids, dates and results.
- Market results posted by other auction bots in channels staff mark as market sources, used for item price history.
Messages we read
The bot only reads message text in auction request tickets, trade rooms, and the market-source channels staff set up. Messages anywhere else are ignored and never stored. In tickets it reads what you write so it can build and edit your listing. In trade rooms it reads short staff instructions. It never reads direct messages, and it doesn't use presence or activity data.
How we use it
- To run auctions: post listings, record bids, notify outbid players, pick winners and open trade rooms.
- To settle disputes and prevent scams, using the auction history.
- To produce price statistics for in-game items, for example to see how prices change over time. These look at items and prices, not at individual players.
AI processing
To build auction cards and translate screenshots, listing text and screenshots from request tickets are sent to our AI provider's API. They're used only to produce that result. Under the provider's API terms they aren't used to train AI models, and we don't train any models ourselves.
Sharing
Auction posts are visible to members of the server where they're posted, as the seller intends. Otherwise we only share data with the service providers that run the bot (hosting, database and the AI provider above), and when the law requires it. We never sell it.
How long we keep it
Auction records and listings are kept as the server's auction history, for disputes and price statistics. Ticket conversations aren't kept beyond the listing they produce. Short technical logs used to fix problems are trimmed automatically.
Your choices
- Only open a request ticket if you want the bot to read it. You can also submit just the form and let staff handle the rest.
- To ask for a copy of your data, or for it to be deleted, message us in the support channel in our Discord server. We answer within 30 days. Deleting your data removes your Discord ID and name from our records; auction results stay only as anonymous price data.
Security
Data is stored in our hosting provider's managed database, which is encrypted at rest and reachable only by the bot. The staff dashboard needs a Discord login and is limited to server admins.
Children
The service is for people who meet Discord's minimum age. We don't knowingly collect data from anyone younger.
Changes and contact
We'll update this page if anything changes; the date at the top shows the latest version. Questions go to the support channel in our Discord server.
